Automated Scanning – Increase productivity by virtually eliminating manual data entry! CertificateHandler fully supports OCR Scanning (Optional Character Recognition) for the most frequently used ACORD forms. Users simply select the specific form type, (ACORD 25, Version 2009/09, for example), scan the certificate via a desktop scanner, upload to CertificateHandler and the system parses and populates the data from the form into the system! Users may then validate coverages and limits against user-defined thresholds and continue the certificate workflow.
Automated Correspondence Processing - CertificateHandler provides immediate, real-time automated notifications of any discrepancies related to a vendor(s) insurance coverage not being in compliance with the user’s pre-defined threshold. User-defined letters detailing a request for an increase in those applicable coverages may be configured to “auto-queue” for manual generation. In addition, CertificateHandler also allows for users to define additional coverage terms and non-compliance reason codes that if not met; also generate immediate, real-time automated notifications of discrepancies to the vendor. Similar to above, if user-defined coverage terms are not met or the vendor is non-compliant, the system may also create user-defined letters to “auto-queue” for manual generation.
Automated E-Mail Processing - For those clients who prefer automated electronic communication via e-mail related to certificate expirations, CertificateHandler allows clients to create user-defined business rules that will automatically send e-mails with/without letters notifying stakeholders (producers, insureds, certificate holders, etc.) of a pending expiration. Multiple e-mail notifications may be configured and sent (45 days prior, 30 days prior, etc.) with an audit trail of all e-mails sent displayed in the client’s electronic file.
Paperless Environment - The CertificateHandler platform allows for users to create an entirely paperless process for tracking certificates of insurance. In addition to the system’s OCR functionality, other paper documents, i.e., certificates, contracts, etc., may also be uploaded to the specific vendor file and subsequently backed-up nightly in the JW Software data center with each upload date stamped. Electronic copies of any user-defined forms or letters generated are automatically attached to the vendor file providing an electronic audit trail of all incoming and outgoing documents affiliated with the specific vendor.
In addition, CertificateHandler provides CertificateHandler Notes and CertificateHandler Diaries as another tool to electronically document and track information and upcoming requirements related to the vendor, certificate, contract, etc. CertificateHandler Notes allows for free-form text to be directly entered on the vendor file where CertificateHandler Diaries tracks “to-do” items at both the vendor level and system level
Letter Generation/Reporting - CertificateHandler routes all client-generated direct mail documents through CertificateHandler Correspondence. CertificateHandler Correspondence is a tool that leverages Microsoft Word to both create user-defined letters and auto-populate those letters with data inputted from the electronic file. Correspondence such as a request for a certificate, notification of inadequate coverage, request for increased limits, etc., may be generated and queued for either batch or single printing with electronic copies stored within the file.
CertificateHandler provides a suite of reports that allow users to create a system-wide snapshot of certificate related-data including certificate(s) by vendor, outstanding diary items and Policy Data. Each report is generated in PDF and includes filtering capabilities on a variety of data elements.
User Configurability - CertificateHandler provides clients the highest level of flexibility as it relates to customizing the system to meet each specific organization’s requirements and standards. Data displayed in the system’s drop-down menus and pick lists are client-defined. In addition, allowance is made for each user’s level of access (view-only, update, insert and delete) to be customized at both the system and client level.
